2) Scope

This Policy explains how we collect, use, share, and protect personal information from:

  • Talent submissions (including minors submitted only by a parent/legal guardian)

  • Press & industry contacts

  • General inquiries and newsletter subscribers

This Policy works together with our Cookie Policy and Terms of Use.

 

3) Information We Collect

You provide directly (adults): name, email, phone (optional), location (optional), links/reels, headshots, resumes, audition files, messages, and other materials you submit.


Parents/guardians provide for minors: parent/guardian name and contact, relationship to minor, minor’s name and age range, links/headshots/audition files, and required consents.


Press & industry: outlet name, role/title, work email, region, and related details.
Automatically via cookies/tech: IP address, device/browser type, pages viewed, timestamps, referring URLs, approximate location. See our Cookie Policy for details and controls.


Sensitive data: We do not require sensitive data (e.g., health, biometric). If a role later requires specific disclosures, we will request them lawfully, explain why, and seek explicit consent where required.

4) Sources

  • You (forms, email, uploads)

  • Your parent/guardian (for minor submissions)

  • Service providers supporting our forms, storage, communications, scheduling, and security

  • Publicly available sources you choose to link (e.g., portfolio pages)

5) How We Use Information

  • Casting evaluation & logistics (adults and minors—minors only through a parent/guardian)

  • Press access & screeners (credential review, embargoed communications)

  • Communications (respond to inquiries, send requested updates)

  • Site operations & security (analytics, debugging, fraud/abuse prevention)

  • Legal compliance & enforcement (record-keeping, rights requests.

Marketing emails are opt-in; you can unsubscribe anytime.

6) Legal Bases (EU/UK where applicable)

  • Performance of a contract (processing your submission or request)

  • Legitimate interests (site security, responding to messages)

  • Consent (marketing emails; optional cookies; parental consent for minors)

  • Legal obligations (compliance, lawful requests)

7) Special Rules for Minors

We accept casting submissions for minors only from a parent or legal guardian. We do not knowingly accept submissions directly from minors.

When a parent/guardian submits on behalf of a minor, they must:

  1. Confirm they are the parent/legal guardian and have authority to consent.

  2. Provide verifiable contact information (we may request a brief verification step or documentation where required).

  3. Consent to our use of the minor’s materials solely for casting evaluation and related logistics.

  4. Agree that we will contact the parent/guardian—not the minor—for follow-ups.

We do not publicly distribute a minor’s audition materials without explicit written parental permission. If we learn a minor submitted directly, we will delete the submission.

8) Auditions & Recordings

We do not record live remote auditions without prior notice and explicit consent (parental consent for minors). Any permitted recording is used only for internal evaluation and may be shared with bound service providers/production partners supporting casting. No public distribution without written permission.

9) Sharing Your Information

We share personal information only as needed with:

  • Service providers (hosting, storage, email delivery, form tools, anti-spam, analytics) under confidentiality and data-processing terms.

  • Production partners assisting with evaluation and logistics under confidentiality.

  • Authorities where required by law or to protect rights and safety.

We do not sell personal information and do not share it for cross-context behavioral advertising.

10) International Transfers

Your information may be processed in countries outside your own. Where required, we use appropriate safeguards (e.g., Standard Contractual Clauses and UK Addendum) and limit access to those with a need to know.

11) Retention

  • Adult casting submissions: up to 24 months from receipt (or sooner upon deletion request), unless we mutually agree to retain longer for future roles.

  • Minor submissions: the shorter of 12 months or the end of the casting cycle, unless the parent/guardian authorizes longer retention.

  • Press contacts: while active; afterward, retained for reasonable archival/legal periods.

  • General inquiries: 12 months.

  • Analytics/cookies: per the Cookie Policy.

We may retain limited information as needed for legal, security, or contractual obligations.

12) Your Rights & Choices

Depending on your location, you may request: access, correction, deletion, restriction, objection, or data portability, and you may withdraw consent at any time. Parents/guardians may exercise these rights on behalf of the minor.

  • Submit requests: production@crimsonchronicles.com (use subject: “Privacy Request”)

  • We may request information to verify identity/authority (and parental status).

  • We aim to respond within 30 days (or the period required by law).

  • Appeal: If we deny a request, you may appeal at production@crimsonchronicles.com and/or contact your data protection authority (see Section 16).

Email preferences: Use the unsubscribe link in any message or contact us.

13) Automated Decision-Making & AI

Casting and press decisions are human-led. We may use software to organize or transcode materials, but we do not rely on solely automated decision-making that produces legal or similarly significant effects. We do not use your submissions to train public AI models.

14) Security

We use reasonable technical and organizational measures (encryption in transit, access controls, least-privilege permissions, vendor diligence). No method is 100% secure. If a breach may affect you, we will notify you as required by law.

15) Cookies & Tracking

We use cookies and similar technologies to operate the site, remember preferences, and measure performance. On first visit, you’ll see a banner to Accept All or Manage Preferences; you can change settings anytime via Cookie Settings in the footer. Do Not Track: we do not respond to DNT signals. If we later use ad tech, we will honor browser-based opt-out signals (e.g., Global Privacy Control) where required.

16) Regional Notices

EU/UK: You have the rights listed in Section 12. You may lodge a complaint with your local authority (EU Data Protection Authority or UK ICO). We encourage you to contact us first so we can help at production@crimsonchronicles.com.

California & other US state laws (e.g., CPRA/CPA/VCDPA/CTDPA/UTDPA):

  • We do not sell personal information and do not share it for cross-context behavioral advertising.

  • If this changes, we will update this Policy and provide a “Do Not Sell or Share” mechanism and honor required opt-out signals.

  • You may use an authorized agent to submit requests; we will need proof of authorization and identity verification.

Nevada: We do not sell “covered information.” If that changes, we will provide an opt-out.

Categories disclosed for business purposes (past 12 months):

  • Identifiers & contact data (to service providers/production partners)

  • Professional/role info (press credentials)

  • Internet/network activity (analytics)

  • Audio/visual audition materials (casting evaluation)

  • All disclosures are for operational purposes under contracts; not for sale or cross-context behavioral advertising.

17) Third-Party Links & Embeds

Our site may link to or embed third-party services (e.g., video players, scheduling, file-transfer). Their data practices are governed by their own policies. We encourage you to review them.

18) Changes to This Policy

We may update this Policy from time to time. We’ll revise the “Last updated” date and, if changes materially affect your rights, provide prominent notice (e.g., banner or email, where appropriate).
